Proposed Meeting Minutes

July 23 2008

The following are the proposed minutes of the July 23, 2008, Board of Directors meeting to be read and adopted at the next meeting.

The executive meeting was called to order at 6:35 pm. Board members present were Bryan Craft, Frank Carubba, and Jack Holland. Gerri Schwartz of Working Solutions, Inc. was also in attendance. Financials were discussed.

The regular meeting was called to order at 7:30 p.m.

Homeowners present: Kirby and Jennifer Spivey and Mark Riley. They were present to express the need to replace the common area pipes in phase I. Notices were sent out to all phase I owners requesting information if they have changed out their interior plumbing lines. Working Solutions is looking into the possibility of the class action suit handling this replacement cost. If not, bids are being obtained to see the costs.

Financial Update:

Delinquencies continue to improve. The board has instructed Working Solutions to aggressively pursue payments from delinquent homeowners. Homeowners please be reminded that if you are delinquent on your association fees, you are not allowed to use any of the property’s amenities and any vehicle that you park on the property is subject to be towed at the owner expense. The board understands that anyone can have a financial crisis and encourages a delinquent homeowner to schedule a meeting with the board to work out a payment plan.

Current reserves: $67,646.60

Maintenance Issues:

  • Exterior painting in all three (3) phases nears completion.
  • Phase II and Phase III garages are to be pressure washed the week of August 11th. Homeowners and residents will be notified to move their cars. If the cars are not moved, we will have the towing company move the cars and back charge the expense to the homeowner.
  • The EIFS surfaces will be pressure washed the week of August 11th. Notices will be distributed to the homeowners/residents with instructions.
  • Electrical work was authorized for the weight room.
  • Additional brass screws were installed on the new plates in Phase 1 that were left out.
  • Landscaping issues were reported to Nature Scapes and will be followed up on before the next meeting.
  • The carriage lights on the property were cleaned by Tim. He will be asked to check them periodically and keep them clean from cob webs.
  • New recycling options were discussed, but tabled for this year.
  • The phase I carpet will be inspected and cleaned where necessary.

Correspondence Review:

The board reviewed and discussed correspondence and issues brought to the board meeting from homeowners. Gerri was instructed on how to address and respond to the issues presented.

New Business:

  • The Board wanted the minutes to reflect the importance that homeowners have their pets on leashes at all times when they are being walked on the common property. If the pet does relieve itself in any area except on the dog walk area, all waste must be picked up and thrown away by the pet owner.
  • An inspection has been done by Working Solutions regarding the replacement of all door hardware that is in violation. Homeowners that are still not in compliance were sent a warning notice. Fine letters will be sent out in mid August to those owners that have not corrected the violation. The fine will be $50 and $25 per day if the replacement is not made by 10 days after the fine notice is sent.
  • One homeowner reported a car break-in phase II occurred in the past month. A police report was filed.
  • Homeowners were once again reminded to visit our website, http://www.sienaatlanta.com
  • A property inspection will be done to site all violations. Warning letters will be sent out by Working Solutions to correct the problems.

The delinquency report presented by Working Solutions was reviewed. 38 units were delinquent in paying their assessments in the amount of $36,200.70.

The following are the proposed minutes of the June 25, 2008, Board of Directors meeting to be read and adopted at the next meeting.
The executive meeting was called to order at 6:55pm. Board members present were Rick Eckman, Bryan Craft, Lew George, and Jack Holland. Gerri Schwartz of Working Solutions, Inc. was also in attendance. Financials were discussed.
The regular meeting was called to order at 7:30 p.m.

Homeowners present: Sara McFather.

Financial Update:

Delinquencies continue to improve. The board has instructed Working Solutions to aggressively pursue payments from delinquent homeowners. Homeowners please be reminded that if you are delinquent on your association fees, you are not allowed to use any of the property’s amenities. Also your vehicle is subject to removal from the property if delinquent fees are not paid on time. The board understands that anyone can have a financial crisis and encourages a delinquent homeowner to schedule a meeting with the board to work out a payment plan.

Current reserves: $93,976.55

Maintenance Issues:

  • Painting has begun on the exterior trim of all phases as scheduled for 2008.
  • New directional signs for Phase 1 have been installed.
  • A website reminder is being placed at the mail kiosks. Check it out: www.sienaatlanta.com
  • Garage pressure washing is on hold until all of the painting has been completed.
  • Additional brass screws will be installed on the new plates in Phase 1 that were left out.
  • A walk-thru was conducted by Working Solutions, Board members, the landscape architect and NatureScapes on June 6th to go over the recent work. Some additional work needs to be done and was approved at the board meeting.
  • Old warn out signage is being replaced in all phases.

The board reviewed and discussed correspondence and issues brought to the board meeting from homeowners. Gerri was instructed on how to address and respond to the issues presented.

New Business:

  • Three home break-ins have occurred in Phase1. There were three home break-ins in Phase 3 last month. Residents are advised to be vigilant in watching out for strange activity or persons on the property. Home and car break-ins are on the rise city wide.
  • A compliance walk-thru is scheduled for those that are still not in compliance with the door hardware rule. Letters will be sent to the individual owners of the units in violation, then fines will incur. The Rules and Regulations are available on the Siena website. www.sienaatlanta.com .
  • Homeowners are to be reminded that parking spaces are for vehicles and cannot be used to store anything.
  • Homeowner, Sara McFather brought her concerns to the board about safety on the property. She reports that her car has been broken into 4 times in 3 months. The board discussed her concerns at length. She will be looking into developing a neighborhoodwatch for our property and will need volunteers for this to work.

Homeowners present: None.

Financial Update:

Delinquencies continue to improve. The board has instructed Working Solutions to aggressively pursue payments from delinquent homeowners. Homeowners please be reminded that if you are delinquent on your association fees, you are not allowed to use any of the property’s amenities. Also your vehicle is subject to removal from the property if delinquent fees are not paid on time. The board understands that anyone can have a financial crisis and encourages a delinquent homeowner to schedule a meeting with the board to work out a payment plan.

Current reserves: $103,976.55

Maintenance Issues:

  • The interior walls of Phase 1 have been painted as scheduled for 2008.
  • Working Solutions has received bids to paint exterior trim of all phases as scheduled for 2008.
  • New directional signs for Phase 1 have been installed.
  • The pool leaks were repaired and the pool resurfacing has been completed. The pool is now open for the season. NOTE: Pets and glass of any kind are not allowed in the pool area.

  • Home owners are to be reminded that only electric grills are allowed on the patios.
  • Homeowners are also to be reminded of the current water restrictions in the city of Atlanta.

Correspondence Review:

The board reviewed and discussed correspondence and issues brought to the board meeting from homeowners. Gerri was instructed on how to address and respond to the issues presented.

New Business:

  • The board has received some complaints from homeowners about loud vehicles in the garages of the Phase 2-3 complex disturbing the residents of the units above.
  • The garages do amplify the exhaust sounds of vehicles. Homeowners are asked to drive slowly in the garages and not to rev the engines of their vehicles.
  • There have been 4 re-sales in 2008.
  • There were three home break-ins in Phase 3 last month. Residents are advised to be vigilant in watching out for strange activity or persons on the property. Home and car break-ins are on the rise city wide.

It has been noted that some homeowners are in violation of the Rules and Regulations on the unit door hardware that is acceptable. A notice has been sent to homeowners to remind them of the rules. The Rules and Regulations are available on the Siena website. www.sienaatlanta.com .

April 23, 2008

The following are the proposed minutes of the April 23, 2008, Board of Directors meeting to be read and adopted at the next meeting.

The executive meeting was called to order at 6:50pm. Board members present were Rick Eckman, Bryan Craft, Lew George, Frank Carubba and Jack Holland. Gerri Schwartz of Working Solutions, Inc. was also in attendance. Financials were discussed.

Homeowners present: Dave Thomas.

Financial Update:

Delinquencies have improved recently, not withstanding a couple of long term delinquencies. Homeowners please be reminded that if you are delinquent on your association fees, you are not allowed to use any of the property’s amenities. Also your vehicle is subject to removal from the property if delinquent fees are not paid on time.

Current reserves: $119,013.38

Maintenance Issues:

  • The shredded oak mulch has been laid around the properties.
  • Working Solutions is getting bids to paint the interior walls of Phase 1 as scheduled for 2008.
  • Working Solutions is getting bids to paint exterior trim of all phases as scheduled for 2008.
  • The Phase 1 door frames will be worked on to make them look better after the lock replacements. This was done, but there are issues that still need to be addressed.
  • New directional signs for Phase 1 will be installed soon.
  • Working solutions was instructed to get bids for pressure washing in needed areas on the properties
  • The Board is reviewing the bids for the painting on the properties.
  • The magnolia tree in Phase 1 that was hit by lightening was to be taken down, but the board decided to wait to see if indeed it was damaged to the extent that this is necessary.
  • Tree trimming was done on the properties to get the limbs away from the buildings to prevent damage. Dead limbs were removed from the large oak tree in the dog walk area behind Phase 2 to make it safer for homeowners to take their pets there.
  • Seasonal color was approved.
  • The board is reviewing the scope of work for roof maintenance.
  • The pool leaks were repaired and the pool resurfacing will be completed next week. After this is done, the pool will need to cure with water in it for 7-10 days.

The following are the proposed minutes of the March 26, 2008, Board of Directors meeting to be read and adopted at the next meeting.

The executive meeting was called to order at 6:50pm. Board members present were Rick Eckman, Bryan Craft, Lew George, Frank Carubba and Jack Holland. Gerri Schwartz of Working Solutions, Inc. was also in attendance. Financials were discussed.

The regular meeting was called to order at 7:30 p.m.

Homeowners present: None.

Financial Update:

Delinquencies continue to be a problem. Homeowners please be reminded that if you are delinquent on your association fees, you are not allowed to use any of the property’s amenities. Also your vehicle is subject to removal from the property if delinquent fees are not paid on time. Current reserves: $108,654.06

Maintenance Issues:

  • A meeting was held with a representative of NatureScapes and Mary Karwoski, our landscape improvement contractor. The shredded oak mulch is ordered and will be laid down soon. The pine straw has been removed.
  • The painting of the elevator doors has been completed. We(you) have to pay to make these repairs. Please report anyone damaging the property. You can do this anonymously.
  • Due to numerous false fire alarms in phase 2, the alarm electronics were replaced. We can be fined by the fire department for too many false alarms. In addition there were many malfunctioning areas in the system found. Inspection of the fire alarm system will take place on April 3rd.
  • Working Solutions is getting bids to paint the interior walls of Phase 1 as scheduled for 2008.
  • Working Solutions is getting bids to paint exterior trim of all phases as scheduled for 2008.
  • The elevator contract for Phase 2 & 3 was received and indicated a substantial increase. Working Solutions re-negotiated the contract and saved us $2,000/yr.
  • The Phase 1 door frames will be worked on to make them look better after the lock replacements.
  • New directional signs for Phase 1 have been approved and will be installed soon.
  • Pressure washing will be done in needed areas on the properties, but we will wait for the pollen season to pass.

New Business:

  • Due to an error in the new water meters, we received an extremely high water bill for one meter in Phase 2. This has been corrected and a credit issued.
  • With Spring in the air, there will be increased interest in having parties. Residents please be reminded that we are a multi-family residence and there is potential for disturbing your neighbors if the party gets too rambunctious or runs late into the night. Please consider this when you are having your social functions.
  • There have been 2 re-sales in 2008.

The following are the proposed minutes of the February 27, 2008, Board of Directors meeting to be read and adopted at the next meeting.

The executive meeting was called to order at 6:30pm. Board members present were Rick Eckman, Bryan Craft, Lew George and Jack Holland. Gerri Schwartz of Working Solutions, Inc. was also in attendance. Financials were discussed.

The regular meeting was called to order at 7:30 p.m.

Homeowners present: None.

Financial Update:

Delinquencies continue to be a problem. Homeowners please be reminded that if you are delinquent on your association fees you are not allowed to use any of the property’s amenities. Also your vehicle is subject to removal from the property if delinquent fees are not paid on time.

Current reserves: $83,320.87

Maintenance Issues:

  • A meeting will be set up with a representative of NatureScapes and Mary Karwoski, our landscape improvement contractor, to begin the plan as presented at the 2007 Annual Homeowner’s Meeting.
  • There are still some homeowners that have not completed the touch-up of the new paint on the entrance doors. Paint and notice will be given to the delinquent homeowners to complete the painting and fines will be imposed if the date is not met.
  • Someone has continued the malicious damaging of the new paint on the elevator frames and door in Phase 2. We(you) have to pay to make these repairs. Please report anyone damaging the property. You can do this anonymously. Repair is scheduled.
  • Due to numerous false fire alarms in phase 2, the alarm electronics were replaced. We can be fined by the fire department for too many false alarms. In addition there were many malfunctioning areas in the system found. The board has approved a complete inspection and cleaning of all smoke detectors,
  • The leak in the pool will be repaired when the resurfacing is done in the spring. City has announced filling of pools can be done this spring.
  • Proposed additional lighting in the garage will not be installed due to expense to do so.
  • Landscaper has increased fees. First increase in many years for this service.
  • Comcast cable has increased fees, but the association fees will remain the same.
  • The board has approved the replacement of pinestraw with shredded oak mulch as recommended by our landscape architect for all phases.

The following are the proposed minutes of the January 23, 2008, Board of Directors meeting to be read and adopted at the next meeting.

The executive meeting was called to order at 6:40pm. Board members present were Rick Eckman, Bryan Craft, Lew George, Jack Holland and Frank Carubba. Gerri Schwartz of Working Solutions, Inc. was also in attendance. Financials were discussed.

The regular meeting was called to order at 7:30 p.m.

Homeowners present: Dave Thomas and David Comeaux.

The minutes of the December 2007 homeowners meeting will be reviewed at the December 2008 homeowners meeting.

Financial Update:

It was reported that we currently have $77,770.80 in our reserves account. We currently have 42 homeowners that have their monthly assessments automatically charged to their credit card. Delinquencies continue to be a problem.

Maintenance Issues:

  • A meeting will be set up with a representative of Nature Scapes and Mary Karwoski, our landscape improvement contractor, to begin the plan as presented at the 2007 Annual Homeowner’s Meeting.
  • An emergency temporary repair was done to the roof on the 300 building of Phase 1 and bids will be receives for permanent repair.
  • The board reviewed the sample replacement numbering signs for Phase 1 and rejected it. The board requested Working Solutions to try another supplier.
  • There are still some homeowners that have not completed the touch-up of the new paint on the entrance doors. Paint and notice will be given to the delinquent homeowners to complete the painting and fines will be imposed if the date is not met.
  • Someone has continued the malicious damaging of the new paint on the elevator frames and door in Phase 2. We(you) have to pay to make these repairs. Please report anyone damaging the property. You can do this anonymously.
  • Due to numerous false fire alarms in phase 2, the alarm electronics are to be replaced. We can be fined by the fire department for too many false alarms.
  • RATS! We have a rat problem around the 300 building in Phase 1 and they are getting into the walls. Repair and sealing of the areas that the rodents can get in has been approved by the board.
  • Both canopies over the clubhouse external doors were repaired because of water damage.
  • The compactors in Phase 2 & 3 have been refurbished. Bagged household garbage only please!
  • All other disposables should be taken to the dumpsters in the parking lot.
  • The dumpsters behind Phase 2 & 3 have been replaced by refurbished ones.
  • The leak in the pool will be repaired when the resurfacing is done in the Spring, pending on whether or not we can fill the pool this year due to the water restrictions.
  • A standard replacement emergency light has been chosen so we don’t have so many different ones on the property.
  • The clubhouse has been re-keyed due to the loss of a key by a renter. If you rent the clubhouse, you will be responsible for returning the key, or you will have to pay for re-keying the locks.

  • We have had a major increase in car break-ins. This crime spree is not confined to Siena. Buckhead, Midtown and Fourth Ward Neighbors have also reported major increases.
  • Working Solutions will send out insurance reminder letters to all homeowners.
  • Siena had 15 resales in 2007.
